Job Description

Experienced Tax or Estate Planning Legal Assistant Position in Bainbridge Island, WA. Integrated Law, PLLC is seeking a seasoned Legal Assistant with a minimum of 5 years of legal administrative experience, specializing in tax law and/or estate planning. If you excel in a fast-paced environment, value teamwork, and prioritize attention to detail and professionalism, we want to hear from you. Compensation: Competitive hourly rate of $30 - $35, depending on experience, plus potential for performance-based bonuses. Potential to move to a salaried position after a 90-day probationary period. Responsibilities: • Prepare legal forms, documents, and correspondence related to new client intake, estate planning, probate, tax, and business matters: Ensures accuracy and timeliness in handling client matters, fostering trust and reliability. • Track and adhere to established timeframes to meet office, tax, and court deadlines : Maintains client confidence by ensuring all legal requirements and deadlines are met without delay. • Edit documents based on requests from associate attorneys, paralegals, and other paraprofessionals : Guarantees that all client documents are precise and professionally presented. • File and send original documents (deeds) and pleadings to the court and various counties for recording : Ensures legal documents are properly processed and recorded, safeguarding client interests. • Review files to ensure all pertinent information and documentation is present : Verifies completeness and accuracy, preventing any oversight that could affect client outcomes. • Contact court personnel, county recording offices, state department of revenue, and associate attorneys to verify and gather information : Facilitates smooth communication and coordination, ensuring all necessary information is obtained for client cases. • Maintain estate planning case files; open, set up, update, and close case files as appropriate : Keeps client files organized and up to date, ensuring efficient case management. • Set estate planning matters for signing; ensure original documents are returned to the client as appropriate : Coordinates signing appointments and document returns, enhancing client satisfaction and trust. • Provide support to associate attorneys, paralegals, and paraprofessionals, confirming all required documentation has been received : Ensures all necessary documents are in place, supporting seamless client service. • Prepare final estate planning portfolios, ensuring compliance with expected and legal timeframes : Assembles comprehensive portfolios for clients, demonstrating thoroughness and attention to detail. • Assist attorneys by attending client meetings, taking notes, and organizing documents : Enhances client interactions by providing organized and accurate documentation. • Respond to client questions and outside agencies regarding procedures and case/matter status : Provides clear and timely communication, addressing client concerns and inquiries effectively. • Ensure case/matters are paid in full; close physical and electronic files, returning all client original documents timely : Manages case closure efficiently, ensuring clients receive their documents and finalizes billing. Qualifications: • Minimum of 5 years of legal administrative experience, specializing in tax law and/or estate planning. • Demonstrated knowledge of legal terminology, court rules, and administrative procedures in estate planning, tax, and business law. • Ability to establish and maintain effective professional relationships with the public, colleagues, courts, clients, and external business personnel. • Proficiency in operating office equipment and computer software. • Strong typing and document proofreading skills related to litigation and legal matters. • Excellent communication skills, both verbal and written. • Ability to efficiently manage multiple duties with competing priorities. • Maintaining the confidentiality of sensitive information is crucial.
