Job Title: Hotel Purchasing Agent Department: Food & Beverage
Salary: $70,000.00- $75,000.00, depending on experience Reports To: Executive Chef of Food & Beverage As the Purchasing Agent, you play a crucial role in the hotel's operations. Some responsibilities include directing, systemizing, and controlling the purchasing and receiving functions, ensuring the timely delivery of the right products at the best prices.
The guardian of quality and quality control the Purchasing Agent maintains high standards of goods and services that our guests expect.
This position develops and executes purchasing strategies to lower costs and maximize quality, ensures the success of our business by finding reliable suppliers and partners. This includes controlling inventory, forecasting demand, while understanding lead times and all product levels and managing waste prevention.
Essential Duties and Responsibilities:
- Places orders and restocking materials and goods promptly
- Utilizes the appropriate ordering guides and vendors.
- Quickly identifying menu items when ordering and maintains control and availability of items.
- It's your responsibility to ensure all items are appropriately available and on hand, playing a crucial role in the smooth operation of the hotel. Locates specialty items in advance to account for lead times in delivery
- Rotates all stock to ensure freshness and timely usage.
- Ensures the cost of conformance to procurement standards prevents shortfalls and financial loss.
- As the Purchasing Manager, you'll be directly responsible for managing the financial loss of food and beverage items, a key aspect of our business operations. You will build and maintain a weekly communications system to manage inventory levels and be accessible to kitchen management staff.
- Provides optimum guest hospitality services with authenticity, promptness, and effective communication that sends a positive impression.
- Manages and directs the purchase of all goods and services within budget guidelines, purchasing and maintaining at par levels.
- Developing and executing purchasing strategies tracking metrics to reduce expenses, negotiating deals, and managing vendors to ensure accurate and timely orders.
- Identify potential supplier sources.
- Conducting interviews with prospective vendors.
- Negotiating favorable supplier agreements and managing supplier and vendor contracts.
- Sets precise requirements and expectations, forecasts market trends mitigate risks, and collaborates with stakeholders.
- Assessing the market pricing and supply, evaluating pricing and availability.
- Ordering existing and new products, including reconciling with inventory
- Keeps accurate records for all food and non-food items.
- Track all purchase orders against delivered orders and reconcile discrepancies.
Education/ Experience and Other Qualifications:
A high school diploma and four years of related experience and training or an equivalent combination of education and experience.
Experience in sales or public relations, preferably in the hospitality or travel industry.
- Strong computer experience is required.
- Data entry experience.
- Have maturity in judgment.
- Be in good physical condition and able to maintain condition.
